Stay on top of your inventory by using purchase orders to manage transactions with your external suppliers. With talech, you can create, send, and receive purchase orders, allowing you to not only track inventory, but manage supplier relationships and report product performance in one place.

Note: Purchase Orders is a feature available on talech Premium only.  Refer to your sales rep to learn more about adding the purchase orders feature.

There are two types of Purchase Orders you can create in talech:  

  • New Purchase Order: Send your purchase order to your supplier via email directly through talech.  
  • Record Purchase Order: Allows you to handle purchase orders via a supplier portal and record them in talech. Recorded purchase orders will not send anything to your supplier.  

Example: If your supplier requires you to use their system to request items, you can use their system and recreate the items in talech. This way, when you receive the items, you can update the received items and it will automatically adjust the quantity.

    How to create a purchase order

    1. Log in to talech.com.
    2. Select Items > Purchase Orders from the left navigation.
    3. Select the New Purchase Order button.

    1. In the Supplier section, click in the blank field to choose the product’s supplier.

    1. In the Delivery Address section, click in the blank field to select the address where the order will be delivered. You can also add a new address if necessary.

    1. In the Terms & Additional Info section:
      1. Enter a Supplier Invoice #/Reference # if applicable. 
      2. Click on the Due Date field and choose the day you need the order fulfilled by.  
      3. Add notes for your supplier if applicable in the Additional Notes field.

    1. In the Purchase Order Items section, add products to the purchase order.
      1. Each product’s current inventory is shown along with its cost (if you have put the cost in the product details from Items > Products). If no cost is shown, you must enter a cost amount, or you won’t be able to add it to the purchase order. You can add the cost on the purchase order here or go to Items > Products and edit the product details.
      2. Type the amount of each product you want to order in the Qty. Requested field.

    1. When finished, select Preview & send.
    2. Review the purchase order to ensure everything is correct.
    • If you need to make changes, select the Back to editing purchase order button and update as needed.
    • If everything looks correct, select Send purchase order.

    1. When your purchase order has been sent, it will be listed with a status of Sent.
    2. You can download a copy of your order as an .xls in case you need to fax your PO to your supplier.
      1. Click on the purchase order you just sent. In the side menu that appears, click the ellipsis […] > Download .xls.

    How to receive a purchase order

    When your supplier has provided you with some or all your goods, you can make note of the products received on the purchase order to track if there are any parts of the order they weren't able to supply. 

    1. Log in to talech.com.
    2. Select Items > Purchase Orders from the left navigation.
    3. Select the purchase order to receive from.
    4. Select Receive PO.

    1. Scroll down to the Purchase order items received section.
    2. In the Qty Received field for each of the products, enter the amounts received.
    3. Once done, select Mark as Received.

    1. If you need to print barcodes for the items received in the order, select the Download Barcodes button on the confirmation message that appears (this is optional).

    1. The status of the purchase order changes to Received.
    2. If there are still outstanding products that have not been delivered yet, the Qty Received column will track how many products of the purchase order have been received.

    1. When more products are delivered, select the purchase order.
    2. Select Update PO.

    1. Update the Qty Received field and select Mark as Received.

    Repeat this process until all the products from the purchase order are received.

    Edit a purchase order

    Purchase orders in a status of Draft or Sent can be edited according to the definitions below.

    Draft status: Edit all the fields of the purchase order form just as when creating a new purchase order.

    Sent status: You can only edit the due date once a purchase order has been sent.

    Resend a purchase order

    Any purchase order in a Sent status can be resent if needed.

    Purchase order statuses

    Your purchase orders will have four different statuses: 

    Status
    Description
    Draft
    The purchase order has been created, but not sent to the supplier. 
    Sent
    The purchase order has been created and sent to the supplier.  
    Received
    The purchase order has been received and complete. This status is also applicable for partially received purchase orders.
    Recorded
    The purchase order has not been sent to the supplier via talech but recorded for inventory tracking purposes. This status is also applicable if you submitted the purchase order via a different method than via talech.
