This article will show you how to integrate Gusto with your talech account. You can enable this integration through the Integrations section of talech.com

Notes: 

  • This integration is currently only available in the United States. 
  • The integration does not currently support linking more than one business from Gusto.

Sign up for Gusto from talech.com

  1. To sign up for a Gusto account from your talech account, log in to talech.com.
  2. Select Integrations > Gusto from the left navigation menu.
  3. Select Sign up for Gusto.
  4. Follow the prompts on Gusto’s website to complete the account set up process.
 

Integrate your Gusto account with talech

  1. To initially connect your talech and Gusto account, log in to talech.com.
  2. Select Integrations > Gusto from the left navigation menu. 
  3. Select Login with Gusto.

  1. Log in to Gusto with your account credentials.

  1. Back on the talech.com Gusto integration page, fill in the overtime settings for employees based on applicable laws.
    1. If employees can earn overtime pay based on the number of hours worked in a day, select Overtime begins at this many hours per day and fill in the number of hours. Otherwise, select Employees are ineligible for overtime based on hours per day. Overtime pay is 1.5x employee’s regular rate.
    2. Fill in the number of hours worked per week before employees start receiving overtime pay
    3. If employees can earn double time pay based on the number of hours worked in a day, select Double time begins at this many hours per day and fill in the number of hours. Otherwise, select Employees are ineligible for double time based on hours per day. Double time pay is 2 times the employee’s regular rate.
    4. Select Confirm and Continue.

Employee matching

Once your accounts are linked, the employee matching process begins automatically. Before performing the employee match, read through the following background information explaining how the employee match process works. If you want to skip ahead to start matching employees, proceed to the section below Use the employee matching tool
 

How employee matching works

Employee matching is a one-time process. Once matched, employees are synced across Gusto and talech every hour. 

If a new employee is added in Gusto, they are automatically added and synced in talech: Employees are given the default employee role when added. Revisit the employee profile and adjust their role and pay rate settings if it needs to be something different. 

If a new employee is added in talech, they are automatically added and synched in Gusto: There is more work required on the Gusto side. These employees are in an “Onboarding” status until they are completely onboarded in Gusto. 
 

How the employee matching tool works

Perfect Matches

The employee matching tool suggests perfect matches for employees between talech and Gusto. Perfect matches are determined based on exact matches of an employee’s first name and last name and matches of an employee’s email or phone number. 
talech only stores one email address, while Gusto stores multiple email addresses for each employee. Email matches are only compared with an employee's work email address if that information is available. Otherwise, emails will be compared with the employee's personal email address stored in Gusto.
 

Suggested Matches

The employee matching tool will provide suggested matches based on the following criteria:
  • An employee’s first name and last name partially matches and either their email or phone number matches. 
  • An employee’s first name and last name match exactly but their email or phone number does not exist or does not match.  
 

How employee matching can be used

You can use employee matching for three different scenarios.

  • You can select Create New in the drop down or click Add + button to transfer employee data from talech to Gusto.
  • All employee data will not automatically be transferred from talech to Gusto
You are an existing talech customer and an existing Gusto customer.
  • You have employees in talech and in Gusto.
  • You can navigate to both screens in the talech employee matching tool to map employees between talech and Gusto.
You are a new talech customer and an existing Gusto customer.
  • Employee data will be transferred from Gusto to talech.
  • You can select Create New in the drop down or click on Add + to add employees in talech.
 

Use the employee matching tool

  1. The first screen contains the matches found between Gusto and talech. Review the list of employees to ensure each entry is correct. 
  2. Select Continue to step 2.

  1. Next, the unmatched talech employees display. These are employees the system was unable to match to your Gusto employee list. 
  2. Review the unmatched employees and select an action:
    1. Select Accept to accept any suggested matches made by the system if they are correct. 
    2. Select Add+ to add an employee from talech to Gusto.
    3. Select Ignore to ignore the unmatched employee and remove them from the matching process. 
  3. When ready, select Continue to step 3.

  1. Next, the unmatched Gusto employees display. These are employees the system was unable to match to your talech employee list. 
  2. Review the unmatched employees and select an action:
    • Select Accept to accept any suggested matches made by the system if they are correct. 
    • Select Add+ to add an employee from Gusto to talech.
    • Select Ignore to ignore the unmatched employee and remove them from the matching process. 
  3. When ready, select Complete Setup

  1. On the “Success!” screen, select Done to return to the Gusto integration dashboard. 
 

Time sheet synchronization

Time sheet synchronization is an automatic process. Once a pay period ends, there is one day to review the information before it is sent to Gusto. 
The latest time sheet synchronization date can be viewed from the dashboard found by navigating to talech.com > Integrations > Gusto

Important!
  1. Talech time sheets do not have an approval process. You may review time sheets in Gusto prior to submitting them.
  2. If you modify any employee role details after the time sheet data has been sent to Gusto, corrections can be manually reviewed and made in Gusto prior to submitting the payroll.
 

Check error logs for sync issues

Use the Error logs to check for sync issues with the time sheet data between talech and Gusto. 
  1. From the dashboard, select the ellipsis [...] > Error logs in the corner of the Time Sheet Data module.

  1. Select a synchronization to view the log.

  1. Review the log for any errors and the error description to see what is necessary to resolve.

Things to note about errors: 

  • Some errors are related to employees not being fully onboarded in Gusto. Time sheet data is only synced for employees that are labeled “Active” in Gusto – meaning their employee profile is fully onboarded. 
  • Some errors are related to the time sheet data in talech. Ensure that the time sheet information in talech is correct. 
  • Some errors are related to unmatched employees. Review your matched employees to ensure everyone is matched and approved. 
 

Integration settings

From the Gusto integration dashboard (found by going to talech.com > Integrations > Gusto), the following items and settings are available: 
  • Allow Connection: Toggle this to the OFF position to pause automatic synchronization. While the integration is paused, employees and time sheet data will stop synchronizing. Toggle this to the ON position to resume synchronization. When on, all employees missing from the other system will be synchronized. While paused, time sheet synchronizations will not be retried when un-paused.
  • View or edit the matched or unmatched employees found during the last sync. 
  • View the time sheet data error logs. 
  • Delete the integration with Gusto. 
  • Change the overtime/double time settings.

Troubleshooting

Here are some basic things to try if encountering issues with your integration. 
  • Check the synchronization error logs to identify issues. See the section above Check error logs for sync issues
  • Ensure your talech employees are matched to the correct employees within Gusto.
  • Set employees’ pay rates in talech.
  • Verify overtime settings within talech.
  • Verify employees are fully onboarded within Gusto prior to attempting to synchronize hours from talech to Gusto.
  • It may take an hour for a new employee to show up in the other system. If you recently updated employees, wait an hour and try again.
  • If applicable, make sure each employee is set up to be paid tips in Gusto. 
  • If none of the other troubleshooting fixed your issue, delete the integration and set it up again.
